Cookies By George · Second Brain · Phase one
Christmas work was growing. The day job wasn’t going away.
Seasonal quotes needed preparing. Everyday messages still needed answers. We worked alongside Cookies By George to turn the team’s know-how into a shared Second Brain: reusable AI instructions and quotation packages they could review.

01 / Before
A quote starts long before the price.
For a returning customer, the team needed last year’s orders, recipient details and gift messages, brought together with current pricing. Missing information and exceptions needed checking, often before the customer had decided to go ahead.
That preparation sat alongside current customers and time-sensitive correspondence. As Christmas approached, both needed the same team’s attention.
02 / Why this approach fit
Start with the people who know the work.
The team already knew their jobs and had an organized shared drive. The opportunity was to turn that knowledge into steps AI could follow, with the checks staff needed to keep.
Hands-on workflow work fit that need: sit together, understand the details, then help people use the system on the tasks already in front of them.
03 / Working together
Their know-how became the working instructions.
Alek sat with staff for process mapping, working through the inputs, steps, checks, templates and outputs. Together, that became the basis for shared structure, AI agent instructions and reusable skills in their Second Brain.
- 01 / UnderstandWalk through a real job.
What comes in? What needs checking? What should be ready at the end?
- 02 / Make reusableCapture the steps.
Give the AI instructions and templates it can use again for the next quotation.
- 03 / PractiseLearn on the work itself.
Keep a conversation focused on one task, inspect what comes back and refine it together.
04 / What changed
Less to assemble from scratch. More ready to review.
The initial work produced editable quote spreadsheets, PDF estimates and email drafts. A batch-review page brought quotations together so staff could check them without opening every spreadsheet individually.
Follow-up work included correcting prices and refining the outputs. Staff review remained part of the process, and support continued through real tasks. Those human checks provided a practical starting point for AI governance.
- Editable quote spreadsheet
- PDF estimate
- Email draft
Check the details. Correct the pricing. Refine the instructions.
05 / The foundation
A first phase with something to build on.
Cookies By George had a starting point grounded in its own work: shared instructions, reusable quotation preparation and practical experience reviewing the results. With further refinement and broader adoption, that foundation can grow into an AI operating system: shared knowledge, reusable instructions and human review supporting everyday work.
